  • location of unfinished or rejected goods.

Samples should be selected across the available cartons and order assortment. Do not allow only supplier-preselected units to represent the shipment.

2. Product Identity and Specification

Check that the inspected item is the ordered model and revision. Compare capacity, dimensions, weight, body shape, lid, gasket, straw, handle, accessories and finish with the specification and approval sample.

Where material composition cannot be proven visually, review the agreed supporting documents and traceability records. An inspector should not convert a supplier statement into a laboratory conclusion.

3. Workmanship and Appearance

Inspect the product under consistent lighting and at an agreed viewing distance. Common appearance checks include:

  • dents, deformation, scratches and sharp edges;
  • welding, seams, polishing and surface cleanliness;
  • coating coverage, particles, bubbles, runs or color variation;
  • lid fit, gaps and component alignment;
  • gasket installation and visible damage;
  • handle, loop, slider or straw operation; and
  • contamination, residue or unusual odor.

Define which variations are acceptable. A sample photo can help, but the written defect description should explain severity and location.

4. Dimensions, Capacity and Weight

Measure values that matter to function, packaging or customer claims:

  • overall height and diameter;
  • opening and base dimensions;
  • net product weight;
  • nominal or usable capacity under the agreed method;
  • straw length and fit; and
  • packaging and master-carton dimensions.

Specify the measurement method and tolerances. Different fill points or instruments can produce different results.

5. Lid Assembly and Leakage

“Leakproof” is not one universal test. The result can depend on fill level, liquid temperature, lid position, test duration, orientation and whether a straw opening is sealed.

Define the actual test, for example:

  1. inspect the lid, gasket and threads;
  2. fill to the agreed level with water at the agreed temperature;
  3. close the lid using the normal assembly method;
  4. place or invert the product in the defined orientation;
  5. hold for the stated duration; and
  6. record visible leakage, seepage or pressure-related behavior.

Products with open straw ports may be splash resistant rather than sealed for transport. Marketing claims should match the approved product configuration and test conditions.

6. Insulation and Functional Performance

If insulation performance is part of the specification, agree the test protocol before production. Record the starting liquid temperature, fill level, ambient conditions, lid configuration, time intervals and acceptable result.

A quick spot test during inspection can provide useful evidence, but it may not replace a longer controlled laboratory or factory test required by the buyer.

Also check relevant functions such as slider movement, straw flow, lid threading, handle security and compatibility with supplied accessories.

7. Logo, Printing and Engraving

Compare decoration with the approved artwork and sample:

  • correct artwork revision;
  • logo size and position;
  • orientation relative to handle, lid or product seam;
  • print colors and registration;
  • missing, blurred, broken or contaminated areas;
  • engraving consistency and contrast;
  • adhesion or rub resistance under the agreed method; and
  • correct artwork by SKU and carton.

8. Cleanliness and Odor

Drinkware should be checked for visible debris, dust, oil, fingerprints, loose particles and unusual odor. Inspect inside the body, lid channels, gasket area, straw and packaging.

Visual and sensory checks do not establish chemical or microbiological compliance. Where the project requires specific testing, use an appropriate qualified laboratory and product-specific test plan.

9. Packaging, Labels and Barcodes

Verify every packaging layer:

  • protective bag, tissue or sleeve;
  • insert and product restraint;
  • unit box structure and artwork;
  • instruction sheet and care information;
  • barcode content and scan result;
  • SKU, color and capacity labels;
  • country-of-origin and other required marks;
  • quantity per master carton;
  • shipping marks and carton numbering; and
  • carton condition and closure.

Where transit risk matters, include an agreed packaging or drop-test method. The purpose is to confirm that the packed product—not only the empty box—can survive the intended distribution route.

10. Assortment and Packing Accuracy

Count selected cartons and compare the product inside with carton labels and the packing list. Mixed colors or artworks create additional risk.

Check that:

  • the correct unit is in the correct printed box;
  • included accessories match the SKU;
  • barcode and label identify the enclosed product;
  • carton quantity is consistent; and
  • the total assortment matches the purchase order.

What a Useful Inspection Report Contains

The report should record:

  • inspection date, place and lot identity;
  • order quantity, finished quantity and packed quantity;
  • sampling method and number inspected;
  • each test method and result;
  • defect photographs and counts by severity;
  • measurement records;
  • packaging and assortment findings;
  • comparison with the approved sample; and
  • overall result under the buyer's agreed rule.

Review the evidence, not only the word “pass” or “fail.” Confirm that the inspected goods and tests match the order you intend to ship.

What to Do When Inspection Fails

Do not release the shipment automatically. Ask the supplier to contain affected goods, identify the cause, quantify the scope and propose corrective action.
